It is possible to import resource information into i-lign using a spreadsheet template. This feature is particularly useful in situations where multiple users need to be created in i-lign, for instance at implementation time, or adding another team to the i-lign user base.

Importing Resource information from Microsoft® Excel spreadsheet

The Microsoft Excel Template is pre-populated with the 21 Columns required by i-lign to immediately load your new resources.

Complete the attached Microsoft Excel spreadsheet template with your resource information, taking note of the following points:

  • i-lign requires the information to be imported as a tab
    delimited text file. (Files produced by Microsoft Excel's save as - tab
    delimited) are suitable
  • The first row of the file is skipped as it generally contains header information.
  • No fields can contain line breaks.
  • All of the mandatory fields (highlighted in the import template) must be present.
  • Asterisked fields * are normally populated from drop-down boxes. The spreadsheet field must contain the exact wording that would be found in the drop-down box for the option selected. e.g."Standard User" for Role
  • Hashed fields # must contain either "true" or "yes" to be selected, or else "no".
  • Primary approver (Must contain user name of person required, else defaults to "i-lign implementor" if this exists)
  • Secondary approver (Must contain user name of person required, else defaults to "i-lign implementor" if this exists).
  • Timesheet delegate (Not mandatory, but if used must contain user name of person required) 
  • Note Password (defaults to "password" if blank)

 

To import the spreadsheet:

  • Go to Jump To> Resources> click Import Button
  • Select the options that apply to your organisation.
    • Option 1 Update existing resources
      (leave unticked to skip rows where the username already exists) - This option will overwrite details from existing resources. For instance, if you have had a change to your organisation's email addresses or bulk changes in timesheet approvers.
    • Option 2 Stop on first error
      (leave unticked to process the whole file and report all error rows) - If ticked, this option will ensure the import stops if there is any formatting or data matching issues. If unticked, you will receive an error screen identifing which rows have errors that need to be addressed before a successful import occurs.
